JOB DESCRIPTION - Group Air Specialist

Compensation 

The salary range for the role is $60,000 – $65,000 per year depending on experience. 

What will I do?

The Group Air Specialist is responsible for managing all aspects of group airline travel for meetings, events, and incentive programs. This role serves as the primary point of contact for program travelers, coordinating air arrangements that align with program guidelines, budgets, and timelines. The specialist books, tickets, exchanges, and refunds airfare for domestic and international itineraries using the Sabre Global Distribution System (GDS) platform, while advising travelers on personal air costs and travel options. They collaborate closely with event management, the technology team, and Solutions Development to ensure accuracy and consistency across all air-related details, produce required manifests and reports, manage traveler data within registration systems, and provide timely, high-quality service to support a seamless travel experience.

Key Accountabilities

  • Serve as Air Lead on assigned programs, including handling inbound 800-number phone calls and responding to program traveler emails in accordance with established SLA requirements.
  • Maintain current, working knowledge of Cvent and Sabre, with proficiency in traveler profiles, scripts, group bookings, and queue management.
  • Book, ticket, exchange, and refund airline reservations for both domestic and complex international itineraries, ensuring compliance with specific program requirements and individual traveler needs.
  • Utilize a wide range of air products, including scheduled service, blocked space, charters, negotiated discount contracts, and private fares.
  • Advise travelers on personal air costs and securely collect credit card information for personal travel, airfare buy-ins, and upgrades.
  • Consult with attendees to arrange and book pre- and post-event travel extensions as needed or requested.
  • Partner closely with Program Managers, Solutions Development, and Tech teams to ensure alignment with all program details, policies, and timelines.
  • Manage and distribute all pre-trip air-related documentation, including View Trips and other traveler communications.
  • Create and maintain custom air reports, including Arrival/Departure Manifests and ad hoc analysis to support loaders, greeters, riders, and on-site operations.
  • Manage attendee registrations within Cvent, including processing requested changes, maintaining detailed notes, managing roommate pairings, and handling registration-related charges and adjustments.
  • Perform additional duties and special projects as needed to support program success.
  • Other duties and responsibilities as needed or assigned.

Required Education and Experience

  • High School Diploma or G.E.D.
  • Sabre GDS experience required.
  • Passion for and ability to travel up to 25% of the time and work outside of normal business hours, including evenings and weekends.
  • Exceptional communication skills, including the ability to articulate vision and inspire and motivate others.
  • Proven ability to work in a fast-paced environment with meticulous attention to detail.
  • Exceptional organizational, interpersonal, time management, computer, and problem-solving skills.
  • Strong project and change management skills.
  • Ability to work independently and effectively collaborate in a team environment.
  • Positive, friendly, and approachable attitude with a strong work ethic and ability to multitask.

Preferred Experience

  • 3+ years of travel agency experience.
  • Proficiency with CVENT technology and MS Office.
